Get all the answers to the most frequently asked questions regarding the ICSP registration, application, allocation and swop processes below.  For more help on how to use ICSP Online, consult our user guide.

1. Registration

No registration will be necessary. The system has been pre-populated with applicants for the mid-year cycle. Applicants will only be required to update and verify information on their profiles.

You should have received 2 emails from ICSP Online to reset your password and gain access to the cycle. If you have not received these emails, please complete this registration form on the self-registration portal so that the Call Centre may create a profile for you.

The Auditor General of South Africa requires us to use dual authentication on systems that contain personal data, so we send the reset link and the key for that reset in two different e-mails.

NB. Calling the Call Centre at 087 012 5082 are the last line of contact and must be accompanied with a case reference number from the OS ticketing system.

On the ICSP Info website, under the contact us section, you can raise a ticket with the Call Centre to make the necessary changes for you.

Log into the ICSP Online system  directly at:  this link  and then fill in your username, which is your ID number  and your password  to verify your registration. Alternatively, Click  here to be directed back to the homepage of the info site and click the orange button written ICSP Annual 2020.

Ensure that you check and complete all the necessary fields, before clicking on the submit button at the bottom.

NB: You must update your account details and click the submit button to proceed to the next stage of the application process.

This is a generic User registration form that is not only applicable to Interns and Community service applicants but also to Provincial and National users. If you are a Intern the answer would be “Student”. If you are a Intern and Applying for Community Service the answer would be the Provincial Department that is currently employing you ie. “Gauteng Department of Health”.

If you already filled any other information in this text, do not worry we will rectify this as it is a required field used for Provincial and National users.

2. Application

You will not be disadvantaged by whether you make your application early or late in the process. The allocation algorithm will only be run after the application process closes.

There are likely no posts available for your field of study, or you are a bursary holder and restricted to a geographic area.

Applicants are restricted by selection rules.  You may be attempting to apply for posts in contradiction with these rules. Please refer to the user guide for details of the selection rules for applicants.

No. You cannot apply for more than 3 posts in one province. You must apply to a minimum of 3 provinces. Further, you cannot apply for more than 2 posts in 1 district.

Yes. The system will only limit you on the maximum amount of Priority 2 and 3 Facilities. You are allowed to select up to one Priority 3, two Priority2, and at least 3 Priority1 facilities.

No, you cannot apply for more than 3 posts in one province. You must apply to a minimum of 3 provinces, and you cannot apply for more than 2 posts in 1 district.

Yes, unless you are restricted to a single facility, sub-district, or district, as happens for some nurses. In that case you will be restricted to a specific geographic area.

For the annual cycle you will be able to amend your choices as long as the system is still open. For the midyear cycle you will NOT be able to amend your choices.

A foreign applicant must apply for employment through the Foreign Workforce portal. Appointment to positions will only be accepted once the application has been processed in accordance with the Foreign Workforce Policy, which also clarifies the basis on which registration with the relevant Statutory Health Council will be dealt with.  For further enquiries please raise a ticket through the call centre.

Yes. You can verify your details on ICSP Online and indicate in the verification process what your estimated start date will be. Note, however, that no post will be held for applicants that indicate that they will start in January, but then delay their assumption of duty.

No. Each time you make a selection or fill in a box, your selection is stored as soon as you move to the next.

This can occur if “old” data is still being held on your device.  Clearing your browser cache, where temporary data is held,  should resolve the problem.

What to do on a PC:

  • On the top right hand corner of screen there are 3 vertical dots (⋮). Click it.
  • Select More tools, then Clear browsing data
  • A screen will open. Click on the tick box 1)Cookies and Other data, and 2) Cached images and files. Do not tick Clear browsing history. Click Clear data.
  • Close the page and open again, login and you should see the Application Page.

What to do on an Android device:

  • Open the Chrome browser and tap the Menu button ().If you don’t see this, you may need to pull down on the page.
  • Tap Settings in the menu that appears.On smaller phones, you may have to scroll the menu down to see it.
  • Tap Privacy in the AdvancedThis will open a new menu.
  • Scroll down and tap Clear Browsing Data.This button is at the bottom of the Privacy menu.
  • Ensure that Cache and Cookies, Site data are checked and then tap Clear. This will delete the cache for Google Chrome.

3. Allocation

After the allocation process is completed you will be sent a notification to log onto ICSP to review your allocation. There are two allocation types in ICSP; a Preliminary allocation that is released after the algorithm run and is not final or fixed and a Final allocation that is released after the applicant exchanges, appeals and applicant eligibility processes. The Final allocation will then be used by Provinces to begin their contracting process, after applicants have indicated acceptance of the allocation.

NB: Note that there is no allocation letter to be issued. You will only receive an offer of employment from the province after the acceptance of the allocation. The offer of employment/Contract of employment is only issued by the Provincial Department or the National Department of Health accredited partners.

Placement of foreign nationals, refugees, or applicants with permanent residence will be accommodated in accordance with the Foreign Workforce Policy.

No, all placements for internships and community service are done through the ICSP Online system, and in accordance with National Department of Health policies.

Please Note that there is no allocation letter to be issued from the system. The final allocation that is released after the applicant exchanges, appeals and applicant eligibility processes is the one the Provinces use to begin their contracting process, after applicants have indicated acceptance of the allocation. You will only receive an offer of employment/Contract of employment from the province after the acceptance of the allocation.

5. Foreign Nationals

A foreign applicant must apply for employment through the Foreign Workforce portal. Appointment to positions will only be accepted once the application has been processed in accordance with the Foreign Workforce Policy, which also clarifies the basis on which registration with the relevant Statutory Health Council will be dealt with.  For further enquiries please raise a ticket through the call centre.

Placement of foreign nationals, refugees, or applicants with permanent residence will be accommodated in accordance with the Foreign Workforce Policy.

 

Foreign workforce requires a proof of placement signed by the Director General of the National Department of Health along with the Contract of employment from the facility. These should be e-mailed to Miyelani Malungan at: malunm@health.gov.za

Please log a ticket through the ICSP online and upload the certified copies of your Permanent Residence Permit or a certified copy of your South African ID.

On receipt of the documents, your application status will be updated accordingly and due consideration will be given to your application at the next cycle within available resources

Please note that Allocation for Foreign Nationals will only be considered pending the availability of posts and in accordance with the Immigration Act of 2002.

6. General

If you request an email and it is not received as quickly as expected, the delay can be caused by a bottleneck in a number of places, including where servers are swamped with large volumes of mails. We encourage the applicant to be patient, since immediately submitting a new request will simply make the blockage worse.
If after 4 hours you still have not received an email, please try the process again, making sure that you enter the correct details.

No. All communication concerning internship and community service placements should be chanelled through the Call Centre. This ensures that there is a documented trail or official record of all discussions regarding your issue.

There is a 3 step process to resolving your allocation problems:

1) Your raise a ticket number, and if the Call Centre official is unable to resolve your query a case is opened.

2) Your case is discussed by a senior official and the outcome communicated to you via the Call Centre.

3) For more complex cases, an appointment is made to meet with a senior official to resolve your case.

You will note that there is no provision for an applicant to elect to visit the National Department of Health and demand to see an official unless they have an appointment that has been confirmed by the Call Centre.

Meetings with applicants are structured so as not to disrupt the day to day administrative processes and ultimately impact on the ability to complete allocations on time.

The first line of contact with the Call Centre should be via email or by logging a ticket on the system.  Calls to the Call Centre at 087 012 5082 are the last line of contact and must be accompanied with a case reference number.

NB: The Call Centre is only operational between 08h00 – 16h00, from Monday to Friday. To ensure that all support calls are tracked and receiving the necessary priority it is essential to have a case reference number (ticket number).  Calls directly to Departmental staff or call centre personnel is not logged and will not be receiving attention.

If you are employed at public institutions like Hospitals and clinics, are released by the head of Pharmaceutical Services(HOPS) at various provinces after completion of 365 days and a favorable report from the facility manager/CEO of the Hospital or District.

If you are employed at Community Pharmacies (CCMDD) or other partners who are seconded by the National Department of Health, you download the following form: (CSP_Release_letter_template_2019). The form must be completed by the manager/owner of the pharmacy and sent with the required documents, as per the letter template. This can be done 30 days before release date; however, the date of release can only be on the day the CSP was registered with the SAPC. The documents should be e-mailed to Mandi Bhembe at: BhembM@health.gov.za

Please note: For foreign applicants, an endorsement letter from Foreign Workforce indicating where the candidate will be working going forward must be submitted with the release letter. This is required by the SAPC for them to affect the release.

To obtain an endorsement letter, Foreign workforce requires a proof of placement signed by the Director General of the National Department of Health along with the Contract of employment from the facility. These should be e-mailed to Miyelani Malungan at: malunm@health.gov.za.

Dates for Mid-year will be communicated on the information site as soon as confirmed.

Community Service & Internship Queries

Internship and Community service is a Statutory obligation. Employer employee relations come into effect once a person is contracted. The applicant must discuss with the institutional manager and provincial coordinator who will send the out come to NDoH .

Nurse Registration FAQs

To register on the ICSP system you will need an email account.  This is a security measure and the preferred method of communication.

Your email is used to invite you to register and verify your details on the ICSP System.

If you received an SMS directing you to this page, you are pre-registered however we do not have a valid email address to send your invitation.

The invitation comes in two parts:

  • Part one contains a link to the registration page, with your user name and
  • Part two contains a security code that needs to be copied and pasted into the field provided by the first email. This let you set your own password

Please fill the form below with your email account to enable us to update the email on the system.

After submitting this form you will receive a ticket number from our ticketing system as proof that the form was received.  This document will then be used to manually update your profile.  Be patient you will receive the invitation e-mails within 48 hrs.

To sign up for Gmail, create a Google Account. You can use the username and password to sign in to Gmail and other Google products like YouTube, Google Play, and Google Drive.

  1. Go to theGoogle Account creation page.
  2. Follow the steps on the screen to set up your account.
  3. Use the account you created to sign in to Gmail.

CREATE AN ACCOUNT

You won’t be able to get a certain Gmail address if the username you requested is:

  • Already being used
  • Very similar to an existing username (for example, if example@gmail.com already exists, you can’t use examp1e@gmail.com)
  • The same as a username that someone used in the past and then deleted
  • Reserved by Google to prevent spam or abuse
